Which document when?
A typical export deal uses these documents in this order. Each one can be made on this page.
QuotationYou price the goods and state validity, payment and delivery terms (Incoterm).
Purchase orderThe buyer orders. Your quotation number goes in the reference field.
Proforma invoiceYou confirm the order as an invoice-shaped document. The buyer uses it to pay a deposit, open a letter of credit or apply for an import licence.
Commercial invoice + packing listShipped goods are described for customs. The invoice carries values, HS codes and origin; the packing list carries packages, weights and measurements. Both must match line for line.
Delivery note / receiptOn delivery the receiver signs the delivery note. When paid, you issue a receipt. A tax invoice is issued where local tax law requires one.
Export & import paperwork by country
Which documents customs expect, what your invoice must contain, and what changed recently. Pick a country. Verified from official customs and trade sources in October 2026; rules change, so confirm with your forwarder or customs broker before you ship.
🇰🇷 South Korea
Electronic declarations on UNI-PASS; a customs clearance code for every importer and exporter; KORUS, EU–Korea FTA and RCEP preferences need no fixed certificate form.
Importing into South Korea
Import declaration (수입신고) filed electronically on UNI-PASS by the importer or a licensed customs broker, after the vessel or aircraft arrives (early filing is allowed). Duty is paid before release, or within 15 days under post-payment.
Documents: commercial invoice, packing list, bill of lading or air waybill, certificate of origin if claiming a preference, and any product-specific approvals. They are submitted when customs asks; otherwise the declarant keeps them.
Importer ID: every importer and exporter needs a customs clearance code (통관고유부호), applied for on UNI-PASS; individuals get a code starting with P.
Preferences: Korea–US (KORUS) needs no prescribed certificate — the required origin data can be on the invoice or any document, and claims are possible up to a year after import. EU–Korea FTA: origin declaration on the invoice (any exporter up to €6,000, approved exporter above). RCEP and the Korea–Indonesia CEPA also apply.
Product rules: KC certification for electrical, radio and children's products; MFDS registration and a licensed importer for food, supplements, cosmetics, drugs and medical devices; chemicals checked with the Korea Chemicals Management Association.
Exporting from South Korea
Export declaration (수출신고) on UNI-PASS using the customs clearance code. Shipments under KRW 2 million FOB can use the simplified route, but a full declaration is needed to claim export performance, a customs refund, a certificate of origin or zero-rated VAT.
Controlled goods (strategic items, some chemicals, cultural property) need confirmation from the relevant ministry before export.
Your commercial invoice must show
Total and unit value, quantity, marks and numbers, description, ship-from and ship-to (trade.gov lists the original plus two copies).
No letterhead or signature requirement is published for Korea, but a company stamp (직인) is customary on Korean documents.
Other documents you may need
Insurance certificate when the seller insures (CIF/CIP).
ISPM 15 mark on wood packaging; MSDS for chemicals; quarantine certificates for plants, animals and food.
Thresholds & recent changes
Low-value route: list clearance without an import declaration certificate for goods under US$150 (US$200 for US-origin express shipments); self-use goods up to US$150 are duty- and VAT-free. Food, supplements, medicines and some cosmetics are excluded.

🇯🇵 Japan
Declarations through NACCS; invoice, packing list and transport document are the core set; mail-order fields were added to the import declaration in October 2025.
Importing into Japan
Import declaration filed through NACCS (paper is still accepted). Japan Customs lists: invoice, bill of lading / sea waybill / air waybill, insurance certificate, freight account, packing list, and contracts or price lists where relevant.
The declaration states importer, marks, product name, quantity, price, country of origin, place of shipment, consignor, vessel or aircraft and storage location. Since 12 October 2025 it also asks for the domestic delivery destination, whether the goods are mail-order sales, and the platform name.
Duty is assessed on CIF value; packing-list weights should be metric. A licensed customs broker is strongly recommended for newcomers.
Preferences: a certificate of origin is only needed for preferential rates (RCEP, CPTPP, Japan–EU EPA and others); US goods usually clear at WTO or temporary rates without one. Under RCEP, proof of origin can be an importer or exporter self-declaration, an approved-exporter declaration or a third-party certificate; it can be skipped when customs value is JPY 200,000 or less.
Product rules: PSE mark for electrical appliances, Food Sanitation Act notification for food and utensils, PMDA approval for pharmaceuticals and medical devices; licences for hazardous materials, animals, plants and quota goods.
Exporting from Japan
Export declaration to the Director-General of Customs with an invoice (or acceptable substitute); a packing list, permits under other laws and a Certificate of Export for the consumption-tax exemption may also be required.
Your commercial invoice must show
Name, quantity and value, prepared in the country of shipment (Japan Customs). In practice: seller and buyer, invoice number and date, specific descriptions, quantities, unit prices, totals, currency, Incoterm and payment terms.
No letterhead or signature requirement.
Other documents you may need
Insurance certificate, freight account (when freight is not on the invoice), certificate of origin for preferences, PSE / food / PMDA approvals as applicable, ISPM 15 for wood packaging.
Thresholds & recent changes
De minimis is JPY 10,000 (duty and consumption tax), judged on FOB value. A Ministry of Finance working group (interim report, November 2025) is considering lowering or abolishing it and moving to platform-collected consumption tax; no decision or date had been announced at the time of writing.

🇨🇳 China
The Chinese importer files through the Single Window; the invoice must be in English, on letterhead and signed; the GACC overseas-food-manufacturer registration rules were revised from 1 June 2026.
Importing into China
The Chinese consignee (agent, distributor, JV or foreign-invested enterprise) assembles the documents and declares through the China International Trade Single Window: bill of lading, invoice, packing list, customs declaration, insurance policy and sales contract; plus import licences, quota certificates and inspection or safety certificates where required.
The consignee must be registered with China Customs (a CR number appears on the paperwork), hold import/export rights and give power of attorney to a customs broker.
Invoice in English, matching the air waybill or bill of lading; the transaction currency is allowed. A packing list is required for multi-box shipments or over 100 kg, showing contents, quantity, packing method and net/gross weight per carton, signed or stamped.
Duty is assessed on CIF value — if freight and insurance are not shown separately, customs may add its own estimate.
Product rules: CCC mark for regulated products; Chinese labels for food and cosmetics; GACC registration of overseas food manufacturers (Decree 280, published October 2025, effective 1 June 2026, registration through cifer.singlewindow.cn, free of charge).
Preferences: certificates of origin under RCEP, the China–Korea FTA, ChAFTA, ACFTA and others; approved-exporter self-declarations exist under RCEP.
Exporting from China
Export declaration filed electronically through the Single Window with commercial invoice, packing list, transport document and an export licence for controlled goods. HS code, description and value must match across all documents; clearance typically takes 1–3 days.
Your commercial invoice must show
Exporter and importer details, HS code, description, quantity, value and currency; letterhead and signature are expected (carrier guidance). Freight and insurance shown separately for CIF valuation.
Other documents you may need
Certificate of origin, CCC conformity documents, commodity inspection certificate for toys and similar goods, MSDS for chemicals and biologics, sanitary and origin certificates for infant formula, ISPM 15 for wood packaging.
Thresholds & recent changes
Low-value figures differ between sources (duty threshold around RMB 50 of tax); cross-border e-commerce caps are RMB 5,000 per transaction and RMB 26,000 per year. Express shipments over CNY 5,000 or regulated goods go through formal clearance.

🇺🇸 United States
Invoice contents are set by regulation (19 CFR 141.86); ocean cargo needs the ISF 10+2 filing; the duty-free de minimis was suspended for all countries in 2025.
Importing into United States
Goods are entered in ACE, typically with CBP Form 3461 (entry) and CBP Form 7501 (entry summary), through a customs broker. A customs bond is required. Informal entry covers shipments up to US$2,500.
Importer of record identification: EIN, CBP-assigned number or SSN.
ISF 10+2 (ocean only): seller, buyer, importer number, consignee number, manufacturer, ship-to party, country of origin, HTSUS number, container stuffing location and consolidator, filed 24 hours before loading at the foreign port. Penalties are US$5,000 per violation (capped at US$10,000 per filing).
Preferences: USMCA certification needs nine minimum data elements on any document, with no prescribed form (CBP Form 434 is no longer used); KORUS claims likewise need no fixed form.
Electronic Export Information (EEI) is filed in AES (on ACE) when goods under one Schedule B number exceed US$2,500, or whenever a licence is required; also for ITAR items, 600-series ECCNs and shipments to Cuba, Iran, North Korea, Sudan or Syria. Exports to Canada are exempt unless a trigger applies. The filer is the US Principal Party in Interest (EIN or DUNS) or its agent, before departure.
Your commercial invoice must show
19 CFR 141.86 requires: the intended port of entry; when, where and between whom the goods were sold (or shipped, if not a sale); a detailed description with grade or quality and the marks and numbers of the packages; quantities in the weights and measures of the origin country or the US; purchase price per item in the currency of purchase (or value if not purchased); the currency; itemised charges (freight, insurance, commissions, containers, packing); rebates and drawbacks; country of origin; assists not included in the price; all discounts; the name of a responsible employee of the exporter; English or an accurate English translation; a packing list stating what is in each package; consecutive numbering of invoices and pages when there are several.
Other documents you may need
Bill of lading or air waybill, packing list, certificate of origin only when claiming a preference, ISPM 15 for wood packaging, MSDS, FCC / UL / CPSC compliance where applicable.
Thresholds & recent changes
Duty-free de minimis (US$800) was suspended for all countries from 29 August 2025 (China and Hong Kong from 2 May 2025). After the Supreme Court struck down the IEEPA tariffs on 20 February 2026, an executive order kept the suspension in place from 24 February 2026; postal shipments pay a duty equal to the 10% global tariff instead of the earlier flat fee. The statute itself repeals de minimis on 1 July 2027. Expect further changes and check CBP before shipping small parcels.

🇪🇺 European Union
EORI number, SAD declaration and ICS2 advance data; origin declared on the invoice for the EU–Korea FTA; the €150 duty exemption ended on 1 July 2026 and the customs reform entered into force in September 2026.
Importing into European Union
Customs declaration (SAD layout) for release for free circulation; its acceptance date fixes duty, VAT and excise. Filed in each member state's system — ATLAS in Germany, DELTA in France, the AEAT e-office in Spain, STADA-Importação in Portugal (declaration called DAI).
EORI number is mandatory; non-EU traders get one when they first lodge a declaration.
Entry Summary Declaration (ENS) under ICS2 is lodged in advance, normally by the carrier (e.g. 24 hours before loading for containerised sea cargo, 1 hour before arrival for road), so the exporter's documents must give accurate shipper, consignee and goods descriptions.
Origin: non-preferential certificates, EUR.1 / EUR-MED, Form A, and invoice declarations — any exporter up to €6,000, approved exporter above (REX for some agreements). EU–Korea FTA: origin declaration on the invoice or another commercial document, valid 12 months, in any official EU or Korean language.
Germany: customs value declaration (D.V.1) for values above €20,000. France: EORI = FR + SIRET, moving to SIREN-based numbers in H2 2026. Spain and Portugal expect invoices on letterhead and signed (carrier guidance).
Product rules: CE marking and declaration of conformity; the General Product Safety Regulation (since 13 December 2024) requires an EU-established responsible person on the label and in online listings; REACH, RoHS, WEEE, cosmetics notification; CBAM in its definitive phase from 1 January 2026 for cement, iron and steel, aluminium, fertilisers, electricity and hydrogen.
Exporting from European Union
Export declaration lodged electronically with the national customs system (EX-A / MRN), exit confirmed at the office of exit.
Your commercial invoice must show
No EU-wide form: goods description, quantities, weights, prices, delivery and payment terms, which feed duty and VAT. Show freight and insurance separately if not included, and keep data consistent with the transport documents. Several member states expect letterhead and signature.
Other documents you may need
EUR.1 or origin declaration, packing list, transport document, phytosanitary / sanitary certificates for food and plants, ISPM 15 for wood packaging, MSDS, CE documentation.
Thresholds & recent changes
The €150 customs duty exemption was removed on 1 July 2026: a flat €3 duty per item applies during the transition (items counted by commodity code and country of origin), with a handling fee of around €2 planned from 1 November 2026. VAT has been due on all imports since 2021.
EU Customs Reform entered into force on 21 September 2026: an EU Customs Authority, an EU Customs Data Hub (mandatory for e-commerce from 1 July 2028 and for all importers from 1 March 2034), and platforms treated as importers for distance sales.
EU–Mercosur: signed 17 January 2026; the Commission announced provisional application of the interim trade agreement in February 2026 pending a Court of Justice opinion. Check the current status before claiming preferences.

RADAR registration and the new Duimp declaration in the Siscomex Portal Único; invoice contents are set by law (Decree 6.759/2009, art. 557) and must include net and gross weight, three country fields and the Incoterm.
Importing into Brazil
Importer registration: an active CNPJ and RADAR habilitação (Express, Limited — caps of US$50,000 or US$150,000 per six months — or Unlimited), requested through Sistema Habilita on the Siscomex Portal Único.
Declaration: the Duimp (Declaração Única de Importação) is replacing the DI, with the LPCO licensing module and the Product Catalogue; the product and foreign manufacturer must be registered before filing, and the NCM code and description must match the invoice. The final DI shutdown date has been reported as 1 December 2026 — confirm with your broker.
Courier parcels up to US$3,000 are declared by the courier in Siscomex Remessa.
Documents: commercial invoice, packing list, air waybill or bill of lading, certificate of origin for preferential duty, import licence (LI/LPCO) for controlled goods.
Product rules: ANVISA (health products — only via a local unit or authorised distributor), MAPA (agricultural), INMETRO (regulated products), ANATEL (telecom).
Exporting from Brazil
The DU-E (Declaração Única de Exportação) is prepared in the Portal Siscomex by the exporter or a despachante, built from the Nota Fiscal de Exportação; it replaced the RE, DE and DSE.
Your commercial invoice must show
Decree 6.759/2009, art. 557 requires: exporter's full name and address; importer's full name and address (plus buyer or orderer if different); description with proper and trade names; marks, numbers and references on packages; quantity and type of packages; gross weight; net weight; country of origin; country of acquisition; country of provenance; unit and total price per item with discounts; transport cost and other expenses; payment terms and currency; Incoterm.
Description in Portuguese or an official GATT language (customs may require a Portuguese translation); corrections must be authenticated by the exporter; letterhead and signature expected.
Other documents you may need
Certificate of origin (Mercosur, ALADI), insurance, ISPM 15, INMETRO / ANATEL / ANVISA / MAPA certificates as applicable.
Thresholds & recent changes
Import taxes stack (II, IPI, PIS/COFINS, ICMS) and can exceed 100% for some goods. The tax reform replaces ICMS/IPI with IBS/CBS over 2026–2033; the Duimp has calculated CBS/IBS per item since 27 September 2026 (not yet payable).
Low-value parcels (Remessa Conforme): rules changed again in 2026 — reports describe a renewed exemption up to US$50 by provisional measure from May 2026, with 60% federal tax above that; ICMS still applies. Verify current figures before shipping.

🇲🇽 Mexico
A licensed customs broker files the pedimento; the invoice is digitised as a COVE in VUCEM and must be in Spanish; new tariffs on goods from countries without a trade agreement from January 2026.
Importing into Mexico
The pedimento is filed by a licensed customs broker (agente aduanal), not by the shipper or forwarder, with the commercial invoice and bill of lading.
Importers must be on the Padrón de Importadores (plus the sector padrón for textiles, chemicals, electronics, auto parts and more), with a valid RFC and e.firma.
COVE: the invoice is transmitted through VUCEM as an electronic value document; the invoice must match the COVE and pedimento exactly. Pedimento fields linked to the COVE: supplier and buyer tax ID, name, address, invoice number and date, currency, total value in the invoice currency and in USD, Incoterm, related-party status.
Manifestación de Valor (value manifest) is filed electronically by the importer and kept for 5 years.
Preferences: USMCA certification with nine data elements, no validation required; SAT may verify by questionnaire or site visit.
Product rules: NOM compliance and Spanish labelling by product category; Carta Porte complement for domestic transport.
Exporting from Mexico
Export pedimento through a customs broker; where no CFDI exists, only the buyer data is printed on the pedimento.
Your commercial invoice must show
Spanish language (trade.gov); seller and buyer names and addresses, invoice number and date, a detailed (not generic) description, quantity and unit, unit price and total, currency and exchange rate, Incoterm, country of origin. Vague descriptions or a missing Incoterm cause delays. Keep the original for 5 years.
Other documents you may need
Certificate of origin, bill of lading or air waybill, NOM certificates, permits or health certificates by product, ISPM 15.
Thresholds & recent changes
From 1 January 2026 tariffs of 5–50% apply on 1,463 tariff lines for imports from countries without a trade agreement with Mexico (including China, South Korea, India and Brazil); autos face 50%.
Courier shipments since 15 August 2025: a global rate of 33.5%; from the US and Canada, up to US$50 pays no duty or VAT beyond a fixed fee, US$50–117 pays 17%, above US$117 pays 19%.
A 2026 Customs Law reform widens importer and exporter liability and raises penalties (reported as 250–300% of the goods' value); VUCEM is being replaced by VUTCE. Confirm details in the DOF.

NIB with an importer identification number (API-U or API-P) and NPWP; the PIB declaration through CEISA/INSW; import approvals under the 2025 trade-ministry regulations for regulated goods.
Importing into Indonesia
Importer ID: a legal entity (usually a PT PMA) registers in OSS and gets an NIB that embeds the importer number (API-U for general importers who resell, API-P for producer-importers who may not resell; one type per company). An NPWP tax ID is required; check that the NIB is active in the customs system before shipping.
Declaration: PIB (Pemberitahuan Impor Barang) through CEISA / the INSW single window. Flow: carrier manifest → PIB → prepayment of duty, VAT and PPh 22 at a designated bank → green/yellow/red channel → SPPB release note.
Documents: commercial invoice with Incoterm and detailed descriptions, packing list, bill of lading or air waybill, certificate of origin for preferences, and a 10-digit HS code (BTKI). HS code errors are a leading cause of red-channel selection.
LARTAS: regulated goods need an Import Approval (Persetujuan Impor) from the Trade Ministry and sector permits before release. Permendag 16/2025 (general import policy) and 22/2025 (industrial goods such as steel, tyres, ceramics, glass, plastics) took effect 30 August 2025; Regulation 37/2025 (5 November 2025) amended 16/2025 and brought investment imports under the rules.
Product rules: BPOM registration (food, cosmetics, pharmaceuticals), BPJPH halal certification, SNI standards, SDPPI type approval for electronics.
Preferences: RCEP and the Indonesia–Korea CEPA (IK-CEPA) — attach the facility code and certificate details to the PIB; under RCEP a certificate of origin and/or certified-exporter declaration.
Exporting from Indonesia
PEB (Pemberitahuan Ekspor Barang) filed electronically with DJBC through INSW or EDI, no earlier than 7 days before the estimated export date and before the goods enter the customs area, with exporter and importer details (NPWP), goods with HS code, quantity, weight and value, and transport details; supported by invoice, packing list, transport document, certificate of origin and permits.
Your commercial invoice must show
Incoterm, detailed item descriptions and the 10-digit HS code; letterhead and a signature on inbound invoices (carrier guidance).
Other documents you may need
Certificate of origin (Form IK / RCEP), ISPM 15 for wood packaging, MSDS for chemicals, BPOM / SNI / SDPPI / halal documents as applicable.
Thresholds & recent changes
De minimis is reported as US$3 per consignment (PMK 199/2019, down from US$75), with VAT still due; sources differ on the exact treatment, so confirm with your forwarder. The 2025 regulations above are the main recent change to the import regime.

We run a small trading business ourselves and kept hitting invoice sites that wanted an account, a subscription, or a watermark removed for a fee. We wanted something that just makes the document, looks the way we want it to, and keeps our customer list to ourselves. So we built this and share it with you.

Questions
Is my company or customer data stored anywhere?
No. Everything stays in your browser. If you tick "Remember on this device", the form is kept in your own browser's storage so it is there next time; it is never sent to us. You can also save a template file to your computer and load it again later.
Which file formats can I download?
PDF (with the fonts embedded, so it looks the same everywhere), Word (.docx, editable) and Excel (.xlsx, with real formulas for totals). You can also print straight from the preview.
Can I use my own fonts and colours?
You can upload a logo, choose main, secondary and accent colours, pick from free commercially licensed fonts (Noto Sans, Lato, Poppins, Noto Serif and more, plus Korean, Japanese and Chinese fonts), and set font sizes, bold, italic, alignment, table borders and paper size.
Does it work in Korean, Japanese or Chinese?
Yes. The labels printed on the document can be in English, Korean, Japanese, Chinese, Spanish, Portuguese, German, French, Indonesian or Vietnamese, independent of the website language, and the matching fonts are embedded in the PDF.
Are these documents legally valid?
A quotation, proforma invoice, commercial invoice, packing list or purchase order is a commercial document and is valid when it carries the information its recipient (customer, bank, customs) needs. Tax invoices are different: several countries require them to be issued through a government system (see the notes in the tax invoice tab), and the layouts here follow each country's required contents but do not replace those systems.
